Group Exercise Class Policy

Registration is required for all land classes and may be done up to 7-days in advance at 8pm through the online member portal or Member Services desk.

Attendance is marked automatically within 90-minutes of class start time by scanning your membership card when checking into the facility. Please be in place at the start of class. If you are not present at the start of class, your spot will be given to the next available member in the building who would like to take the class.

Cancellation

  • Cancellations: Registrations must be canceled at least 12 hours before class. A late cancellation will result in a $5 late-cancel fee.
  • No-Shows: All no-shows will incur a $10 charge.
  • Grace Cancellations: Every member receives 3 grace cancellations per calendar year. These are intended to help you avoid penalties in unexpected situations. Please note: Grace cancellations are not applied automatically. Members must contact Member Services no later than 48 hours after the start of class to request a grace cancellation.

Waitlist

  • Waitlist Status: Please note that at this time the app does not currently display waitlist status accurately. You must visit the "Activities" tab to view waitlist status.
  • Waitlist Lock: The waitlist will lock 12 hours before the start of the class, coinciding with the cancellation window.
  • Automatic Enrollment: Before the waitlist locks, participants will be automatically registered from the waitlist and entered into the class if a spot opens. Registrants should receive an email notification.
  • Post Lock Registration: After the waitlist locks, participants will not be automatically moved from the waitlist into the class. Any available spots will be filled on a first-come, first-served basis. Please wait in the designated waiting area for classes. A staff member will notify you if you are able to enter the class.

NOTE: Registration, Cancellation, No-Show, and Waitlist Policies DO NOT apply to pool classes.

Pool Reservation Policy

Program Policy – Specialty Fee-Based Programs

  • Refund Eligibility: Cancellation requests received at least seven (7) days prior to the start of a program will receive a refund of the registration fee minus a 10% administrative fee.
  • Late Cancellations: Cancellation requests received within seven (7) days of the program start date are not eligible for a refund, and the full payment will be forfeited.
  • How to Cancel: If requesting a cancellation, please contact Member Services who will initiate an inquiry with the Fitness Manager.
  • Exceptions: Exceptions may be considered with a physician’s note and at the discretion of management.

These new policies are being implemented to better serve our members by ensuring accountability, promoting fair access, and helping our center continue to operate smoothly and efficiently for everyone.

Massage therapy & Personal Training sessions:

  • All services are nontransferable and nonrefundable regardless of use, cancellation or staff change.
  • All services must be used within one year of purchase.
  • The full price of a services will be charged for any no shows, cancelled appointment, or rescheduled appointment with less than 24‑hour notice.
  • A no show fee will be charged to all missed reservations or cancellations for pool and class reservations.
  • Members are required to check in with 30 minutes of pool reservations.

Program and Specialty Class Policy

  • If you make a cancellation request at least seven days or more before the start of a program, you will receive a refund of your payment minus an administration fee of 10% of the registration fee.
  • If you make a cancellation request fewer than seven days before a program starts or do not arrive on your scheduled start date, you will forfeit your payment.

Pool Reservations:

  • A $5.00 no show fee will be applied to your monthly membership dues for missed pool reservations and canceling within 3 hours of your reservation.
  • Check in is required within 30 minutes of your pool time and on the correct scanner.
  • While the intention is appreciated, gratuities and gifts cannot be accepted by members of the Fitness Staff and other DCFL employees. Massage Therapists are the only exception.

  • Please note: If you have a cold, or are not feeling well, we need to reschedule your appointment. A cancellation fee will be determined by the membership manager. Please contact us as soon as possible. We want to avoid compromising anyone by transferring germs.
